Spadewood Technologies

One system for people, time, and pay.

SpadeX-HR is an HRMS and payroll platform for Indian businesses. Attendance flows into leave, leave flows into payroll, and payroll runs against a locked month — so the numbers reconcile before anyone has to check them.

The month-end problem

Most HR teams do not have a software problem. They have a reconciliation problem.

A biometric machine produces one file. Leave lives in a spreadsheet. Payroll is a third system that needs both, formatted a specific way. Somebody spends three days a month making them agree.

SpadeX-HR removes the handoffs. Attendance, leave and payroll read from the same records, so a corrected punch changes the payslip without anyone re-exporting anything.

Modules

Everything an HR team runs in a month.

Employee management

A single employee record — personal details, job history, documents, statutory IDs — that every other module reads from.

Attendance

Web check-in, biometric device sync and a daily board showing who is in, out, late or on leave.

Leave

Configurable leave types, accrual rules, holiday calendars and balances that update the moment an approval lands.

Payroll

Salary structures, loans, tax declarations and payroll runs that lock against a frozen attendance month.

Requests & helpdesk

Expenses, regularisations and internal tickets in one queue, routed by your own approval rules.

Recruitment & onboarding

Invites, document collection and a structured joining flow, so a new hire is payroll-ready on day one.

Performance

Review cycles tied to the same org structure that drives approvals and reporting.

Organisation setup

Departments, locations, roles, permissions and approval workflows, configured per company.

In use

Built around the two screens people actually live in.

The attendance board

One view of the day: present, in office, on leave, absent and late. Search by name, filter by status, and correct a punch without leaving the page. Once the month is locked, payroll can run against it.

The approvals inbox

Leave, regularisations and expenses arrive in one queue with the waiting time on each. Managers clear a week of requests in a few minutes instead of chasing them across email and chat.

Mobile app

Most people need four things, not the whole system.

In development

The web app is built for the people who run HR. Everyone else opens it to do one of four things: punch in, apply for leave, approve something, or pull a payslip. The SpadeX-HR mobile app is those four things.

It is in development now. When it ships it will be available on Android and iOS, built from a single codebase so both platforms stay on the same version of every rule.

  • Check in and out from the phone, with the day’s attendance visible at a glance
  • Apply for leave and see live balances without opening a laptop
  • Approve leave, regularisations and expenses from the approvals inbox
  • Download payslips and view salary history
  • Company directory, holiday calendar and announcements

Security & architecture

Payroll data deserves more than a login screen.

SpadeX-HR holds salaries, bank details and identity documents. The architecture reflects that.

Multi-tenant isolation
Every company’s data is scoped at the database layer, not filtered in application code.
Role-based access
Permissions are defined per role and enforced on every request, not just hidden in the interface.
Full audit log
Approvals, overrides and configuration changes are recorded with the actor, the timestamp and the previous value.
Encrypted documents
Employee documents are stored encrypted and served through short-lived signed links.

Questions

Before you ask us.

How many employees does SpadeX-HR support?

It is built for companies from roughly 20 to several thousand employees. The data model and pagination are designed for large directories rather than small teams.

Does it handle Indian statutory compliance?

Yes. PF, ESI, professional tax and TDS are part of the payroll model, along with the statutory fields and registers Indian companies are required to maintain.

Can it connect to our biometric devices?

Yes. SpadeX-HR integrates with standard biometric attendance devices, pulling punches directly into the attendance board without manual exports.

Can we import our existing employee data?

Yes. Employees, salary structures and leave balances can be imported from spreadsheets, with validation before anything is written.

Is our data separated from other customers?

Yes. SpadeX-HR is multi-tenant, and tenant isolation is enforced at the data layer for every request.

How long does implementation take?

It depends on how much historical data you bring across. Most of the time is spent on organisation setup, leave rules and salary structures rather than on the software itself.
